A.3. Iterative review report
The iterative review report summarises progress and next steps during iterative roll out, as preparation for discussion with the system governance committee.
The iterative review report is produced at the start of each iteration during roll out (iterative). It is produced before, and in preparation for, the iterative review meeting.
The report is produced by the system governance manager, in consultation with the system governance sponsor.
The report is circulated to the system governance committee, in preparation for the iterative review meeting.
This is a relatively short, informal report, to help prepare and run the iterative review meeting. The purpose of the report is to focus the committee on the areas that need their input.
An iterative review report is produced at the start of each iteration of the iterative roll out. The report for the first iteration will be little more than a statement of the plan for the roll out and of the need to revise the criteria to reflect the objectives. Later reports will be based on more experience and will be more specific about what needs to be done next.
Plan and progress
Provide a brief overview of the roll out plan, and explain where this iteration fits in the plan.
Summarise planned and actual progress to date. Include what criteria have been amended, systems defined, and assessments and reassessments carried out.
Review
Provide a subjective review of progress to date. Articulate your thoughts on:
- Fit to objectives. To what extent do the criteria meet the objectives described in the terms of reference?
- Clarity of criteria. Are the criteria clearly and unambiguously defined?
- Use of criteria. Have the criteria been answered, or are they too difficult to answer? Do all systems give the same answer to the criteria?
- Analysis. Are the results of the analyses considered fair and useful?
- System list. Which systems are yet to be defined? Of the systems assessed, would any systems be better combined, or split?
Next steps
Based on the plan and on the review, summarise what needs to be done next.
- Criteria. Describe what criterion changes are likely to be necessary.
- Assessments. Describe what assessments and reassessments are likely to be appropriate.
- Review. Describe the review process that will take place after the end of this iteration. This will either be the next iterative review, or, if this is the last iterative review, the first annual review.
Points for discussion
List the areas that require discussion with the system governance committee. This will form a large part of the agenda for the iterative review meeting.
